Who we are

myTruckOS is dispatch, accounting, driver pay, compliance and IFTA software for trucking companies. It's run by the myTruckOS team. This policy covers what data we collect, why we collect it, and what we do with it. We tried to keep it short and readable.

Most of what's in myTruckOS — your drivers, loads, customers, rates — is data you enter about your business. We hold it for you and only use it to run the service. You're the one who decides what goes in.

What we collect

  • Your account: company name, the login email, and a scrambled (hashed) password. We can't see your password. We also collect your company's USDOT and MC numbers and how many trucks you run, to check your company is a real, authorized carrier.
  • Your business data: customers, loads, invoices, trucks, trailers, drivers (including contact details, CDL number and expiry, medical card expiry, pay rate), settlements, fuel purchases, and compliance records.
  • Files you upload: rate confirmations, proof-of-delivery, compliance documents, fuel bills and receipts.
  • Billing details: when you pay, our payment provider Paddle takes your card details. We only receive your billing name, email, country, tax ID (if you give one), and the plan, amount and status of each payment. We never see your full card number.
  • Basic technical data: IP address and timestamps, used to stop abuse (rate limits, lockouts) and keep an audit trail of who deleted or finalized what. Not for ads or tracking.

Why we collect it

  • To run the service you signed up for. There's no way to do dispatch, invoicing, driver pay or IFTA without this data.
  • To keep accounts secure.
  • To send account emails: password resets, driver pay statements, and reminders when a CDL, medical card, insurance or registration is about to expire. No marketing emails.
  • To take payment and keep the financial records the law requires.

AI reading your documents

When you upload a rate confirmation or fuel bill for automatic reading, we send its content to an AI service so it can pull out the details and send them back. We use it only for that. Nothing is saved to your account until you've reviewed it and confirmed.

Who we share it with

We don't sell your data and we don't run ads. We use a handful of trusted companies to run the service, and they may only use your data to do their part:

  • Hosting and database — runs the app and stores your data.
  • File storage — keeps the documents you upload.
  • AI document reading — described above.
  • Email delivery — sends the account emails.
  • Error monitoring — if something breaks, technical details (which page, which browser, your company ID, but not the contents of your records) go to a service that helps us fix it.
  • Bot protection — checks that sign-ups and sign-ins aren't automated.
  • Paddle — our payment provider and merchant of record. Paddle takes your payment, handles sales tax/VAT, sends receipts and processes refunds. It looks after the payment details it collects under its own privacy policy.

We may also share data if the law requires it, or to investigate fraud or abuse.

How long we keep it

  • When you delete a load, invoice, fuel entry, driver or similar, it disappears right away but we keep it for 30 days in case it was a mistake, then it's permanently removed.
  • Accounting records and audit logs are kept for as long as your account exists, since books need a permanent trail.
  • Billing records are kept as long as tax and accounting law requires, even after you leave.
  • If you close your account, we delete your company's data within a reasonable time, except what we must keep by law.

Your choices

You can view, edit or delete any of your business records inside the app. Depending on where you live (California, for example), you may also have the right to ask what we hold about you, get a copy, have it corrected, or have it deleted. Email us and we'll help.

If you're a driver and want to know what your employer keeps about you, ask your employer first. They control what's in your record; we only store it for them.

Children

myTruckOS is a business tool. It isn't meant for anyone under 18 and we don't knowingly collect their data.

Changes

If we change this policy in a way that matters, we'll update the date above and email account holders where we can.
